We contacted several charter companies for a multi-day trip and chose this company specifically because they confirmed they could provide a 28-passenger executive minibus for an out-of-state route. That was the deciding factor for us.
About three weeks after booking, we called with a few logistical questions and were told that they could not provide the 28-passenger minibus and would instead send a 56-passenger coach. This did not work for our group (12 people) or our route, which includes areas with size constraints. The smaller bus was the entire reason we booked with them.
What was concerning is that this was not proactively communicated. We only found out because we called. At no point prior were we notified that the vehicle we reserved was no longer available or that there was an issue.
Based on that information, we agreed to cancel and had to quickly secure another company on short notice.
After that, we were told the deposit was non-refundable because we “canceled,” even though the cancellation was directly due to the company being unable to provide the agreed vehicle.
Overall, the issue wasn’t just the change. It was the lack of communication and the position taken afterward regarding the deposit.
