We cannot discuss the full details of an individual order publicly, but we can clarify our general position. When an address service is purchased, work begins straight away. This includes creating the account, processing the order, allocating the address service, issuing confirmation, setting up records, starting compliance checks, and dealing with cancellation and refund administration where a customer changes their mind.

The charge retained was not for a year of ongoing address use after cancellation. It was an administration charge applied because the service had already been ordered, processed and provisioned. Our terms explain that once a service has been set up or made available, deductions may apply if the order is cancelled.

We understand your point that you contacted us quickly and say that you had not used the address to register a business. However, “use” of an address service is not limited only to receiving post or completing a Companies House filing. Provisioning the service and making the address available for use involves immediate administrative and compliance work.

For clarity, Ghost Mail Ltd operates several address-service brands and support may be handled through Ghost Mail email addresses or associated office email addresses. That does not affect the terms applying to the order.

We are sorry that this did not meet your expectations. If you believe the cancellation or refund has been applied incorrectly, please contact customer service with your order number and we will review the matter again.

We do not agree with this review and believe it is misleading.

Our records show that we did respond multiple times to this client and clearly explained why service could not proceed.

Specifically:

Mail was received and the client was notified promptly

Under UK regulatory requirements, mail cannot be scanned or forwarded until ID verification is successfully completed

The ID submitted contained material issues, including:

A proof-of-address document showing our own business address, not the client’s residential address

Supporting documents provided only in Chinese, without an English version or certified translation (which is a regulatory requirement)

We repeatedly requested:

A valid residential proof of address belonging to the client

Documents in English or with an English translation

Until these requirements are met, we are legally prohibited from forwarding or scanning mail. This is not discretionary and applies equally to all clients.

The suggestion that “no one replied” or that “no service was provided” is incorrect. The service was active, communication took place, and mail was held in accordance with our published terms while we awaited compliant documentation.

We understand compliance processes can be frustrating, particularly for international clients, but they are mandatory under UK law and clearly explained during signup.

We remain willing to complete the service once valid, compliant documentation is provided.
