I found EstateExec through a Google…
I found EstateExec through a Google search when looking for ways to organize two estates' financial records better, and I wish I'd found this a month or two earlier.
I instantly liked the user-friendly interface, which walks you through setting up an account, one step at a time, and then managing the account.
The steps for setting up and the checklist for managing the estate are specific to your state's laws, which is incredibly helpful and keeps you from wading through miles of text to find information. My state has particular rules, and I was surprised to find the software to be this detailed, as there are usually vague references to checking your state's laws in a similar checklist.
Also, a helpful timeline is provided for each step so you will know when to initiate specific tasks or if you are behind on something you should have completed. The timeline also automatically eliminates steps that may not apply to you based on your state - again - an excellent feature that saves time and frustration.
A license is a one-time fee of $199 and is cheaper than the hourly rate of most paralegals in my area (New England), yet it will pay for itself because it will save you and your legal counsel time. There is a seven-day free trial period for a license. I commend the designers for placing the remainder of the trial period deadline in the dashboard at login because it's one less thing I've had to watch in the background.
You can easily upload and store receipts, certificates, bank statements, and other essential documents - anything you'd keep in a file folder and have to deal with as separate documents or organize digitally can be saved to the transaction or other data point it belongs to. The storage feature is critical to me because of the financial reporting required by my state - I cannot thank the designers of this software enough for this feature because it has already improved my record organization and provided me with accurate data and supporting documentation on the estate. Additionally, it will simplify closing the estate and streamline the reporting required by the court.
Lastly, and one of the most important things, is customer service. I contacted the company earlier this week and had a personal response and solution the same day. The mother ship is in California, and I was pleasantly surprised by the reaction in this age of automated responses. Kudos to this company for their personal touch!
Best Software to help running an Estate
In the end 2021 my beloved mom passed away and through a series of events I was giving the responsibility of being the Executor of her estate. Having never done one before there are many books and other helps to help guide you through the process. However, I came across EstateExec and was surprised on how easy it was to use. The team of customer support staff was extremely helpful in answering all my questions. The program is designed to guide through each step of the way and even though my mom's estate was fairly simple, the program just made it effortless though each step of the way. Matt was vcery helpful even after the estate was complete just as a followup to see how the process went. in 2022 another relative passed and my brother will be handling that estate and will be using the same program to help as this one will be a little more complicated. Thanks again to the team at EstateExec for all their help in making this process through a difficult time very manageable. Definitely would recommend this program 100%.
I highly recommend EstateExec
I highly recommend EstateExec for anyone navigating the complexities of estate administration. This exceptional product not only streamlines the entire process but also offers a comprehensive checklist and invaluable suggestions that make managing an estate significantly easier. EstateExec stands out for its user-friendly interface, providing a clear and organized platform for users to efficiently handle various aspects of estate settlement. The meticulous checklist ensures that no crucial step is overlooked, offering a sense of confidence and assurance during a challenging time. The thoughtful suggestions provided by EstateExec further enhance its value, guiding users through potential pitfalls and ensuring a smooth and well-informed execution of the estate. Whether you are a professional estate administrator or an individual managing your own affairs, EstateExec is a must-have tool that simplifies the often intricate and emotional process of estate administration.
Confidently Navigate Estate Duties
I've been using the software since September 2023. Initially, I thought I could manage my relatives' estate with excel, a good book and paper records. There is so much paper in the process, even though my relative's estate was in good order and relatively simple. While going though the grieving process, this quickly became overwhelming. When I found EstateExec, it only took me a week to buy the full version.
Great & Helpful:
* Documentation about the estate process & software itself is what convinced me to use the software. The mix of legal, tax and administrative duties are tailored to the state of the estate - also something that is hard to do with just a general book.
* I share the software with the other heir, my CPA and Lawyer. This should help at tax time and was useful when we sold real estate.
* I am motivated by gold stars and progress, so the progress bar feature gets high marks from me, especially when it can seem like this could take a long, long while.
* So far, I have logged about 120 hours of work as Executor. I found the expense tracking very useful as the other hier and I start the distribution process. I'm proud to say that we are in the home stretch, 16% to go, and should be able to finalize at tax time.
* This next comment may resonate with some of you other Excel nerds or type-A analytical folks. The software helped me slow down and kept me from making additional spreadsheets or tinkering unnecessarily. I wasn't wasting time on stuff that just didn't matter.
Could be better: It's hard to say what could improve the software. I like that the UI is no fuss, though could it be improved to look more like a modern financial planning interface? Sure. I also think the software is more capable than I needed, so maybe there are ways to hide some of the unnecessary features unless absolutely needed?
Overall, worth every penny. Highly recommend.
Wow....What a life saver!
Wow....What a life saver!!
My father passed away and I had NO IDEA where to start. The lawyer was telling me one thing, the financial advisor another, and others something completely different. Estate Exec was very helpful in providing a step by step process. I am not tech savvy and had a couple issues so Matt from Estate Exec scheduled a call with me and not just a call...he spent an hour going over details and providing support. This was more valuable than the lawyer!! Grateful for the time and expertise as well as the quick response and kindhearted communication because we are all enduring loss and grieving while trying to handle all of the details. Thank you Matt! I have recommended Estate Exec to many and will continue to do so. The software is the best small investment you will make to make this journey a little less cumbersome and stressful!
Smartest thing I did relative to being an executor
I stumbled onto EstateExec with an internet search, looking for a good checklist. I took the risk and purchased the license. It is the smartest thing I did relative to being an executor of my dad’s estate. It provided me with a comprehensive checklist as well as guidance on every step. The reporting helped the communications with beneficiaries and the accounting helps with managing the status of assets as they are consolidated and distributed. I found it very helpful and highly recommend it for estates of any size. I did need support a couple times figuring out the transfer of assets to the cash account and was able to get the help I needed.
Worth every penny.
This was probably the biggest lifesaver for me during this trying time. I work in tech and I've got a lot of experience with spreadsheets. I planned on doing my own system myself, but I kept ending up back at EstateExec and I decided to buy it. This site saved me so much time. I had a couple gripes about it --- namely with expense tracking and that I wished I could upload file attachments. To my disbelief, someone from estateexec hopped on the phone with me and we discussed my issues in detail and they implemented those improvements! With estateexec, I was able to keep all stakeholders in the loop by sending them view-only invites and it saved my Lawyer so much time that he told me he asks all his clients to use this site too.
Wow! Excellent useful software.
Wow! They have thought of everything and thus made my job easier to manage. Honestly, I could not have been able to handle all I needed to know and do to be efficient. The time it saves can’t be measured and keeps all my records organized. I am blessed to have found EstateExec when I really needed it. Oh yes, the support is awesome too.
Lost in the Woods and the Weeds
After becoming the executor of an estate, I did the usual "online research" including government web sites for the State laws/info of the deceased. I was lost in the woods and in the weeds. There was so much information to sort through yet not enough actual guidance; the non-gov web sites I viewed all seemed to have the same content.
Then I found EstateExec. Wow. Not only is there tons of information "free" to view and learn from on the site but actual State specific information, guidance, helpful hints and suggestions.
Although I use an accounting software for personal use and could have used the same for "tracking" the transactions of this estate, having the specific tabs and "manual" for the required activities of settling an estate that EstateExec provides is superior for settling an estate.
The reports that EstateExec has available have been very helpful and easy to understand along the way and I have full confidence that the final report for the court will be more than sufficient. In fact, I think the final report may even "impress" the court.
My only critique is that I wish I had come across EsateExec sooner in my online search for resources.
Highly recommend EstateExec.
(PS: I am real user of EstateExec choosing not to upload a photo ID. for a "verified user" check mark.)
Top notch, a fine example of what ALL software should strive to achieve
This is a great example of sofware done correctly, in all aspects. First, the price. At 199, that is far below the cost of one hour of estate lawyer time. If you were to have been lucky enough to have purchased this when being named executor, you could probably forgo a lawyer entirely, unless there were legal disputes regarding the estate. This software with it's list of executor tasks, makes understanding and filing of paperwork with the court system, completely understandable to any layman. Links to the actual common probate forms, reference links, referrals to useful services, discounts. You can attach all your relevant documents for expenses, assets, all tied together in one place. Track all time and expenses, easy integration with your estate (view only) bank account for balancing. Their support staff is not only available, but their knowledge of the product is so thorough, that answers to questions are prompt and accurate. I received, on numerous occasions, replies with concise instructions on how to accomplish tasks, answers within minutes to an hour or two. I personally estimate I could have saved in excess of 2000 dollars and over 400 hours of my time, if I had known of this product at the beginning of my estate duties, instead of nearing the completion. This is the finest piece of niche software I've ever seen, in any field. If you are named executor or administer of an estate, use this software. You will be beyond pleasantly suprised.
Everything you need as executor
I'm finishing up the task of settling my father's estate and have found EstateExec to be extremely helpful. You might be able to to this with a spreadsheet, but it would be much more time-consuming. EE has a task list with certain tasks pre-populated, and you can add more as they come up, and they definitely will.
Note that Assets & Debt fields are for major items, not bills or small refunds (those go into Cashflow). When you create an asset (house, car, bank account, etc), you enter 'value at death' and then the 'plan' for the asset: distribute, sell, transfer, etc. Once it has been disposed of, EE will adjust 'value now', so you don't need to enter that field (if you try, things get wonky and it took me a little while to figure that out). If sold, you can specify that the funds went to the estate account, for example. Or the decedent's bank account could be transferred to the estate account. Note that you can specify percentage or dollar amounts for disposition of assets, i.e. 50% each to two siblings, and the funds will track. In some cases it might be better to wait until the asset sells before creating it; otherwise you may just have estimates sitting there to be corrected later. You can create a task in the meantime so you don't forget about it.
You should also be aware that near the upper right corner of the Assets & Debts pages, you can click the 'sandwich' button (three horizonal lines) for hidden columns. I'd recommend you display the 'Probate' column and check the box as appropriate for each item, as the column will hide itself again when you log out. It's a key field, and I'd prefer it be displayed as a default, but it's not.
Also be aware that the software seems to be set up so that the estate bank account only contain probate funds. I'd deposited some non-probate funds into the account and they weren't tracking properly on reports. So I had to back out the transactions. I'm a financial planner, and even I'm not sure if an estate account is intended for probate funds only. But it makes sense to keep them out of the estate account, and you can still track them in the software as assets and their resulting disposition.
Be aware that at the beginning of the process, it can be a hurdle opening the estate account. You'll need a certified death certificate, court appointment document (possibly certified), and EIN from the IRS (can be obtained online quickly). If you're an out-of-state executor, you may need to use a national bank like WF to avoid getting your local courts involved.
It takes a little getting used to, but once I was up and underway, the software was immensely valuable, and I highly recommend it.
Software Designed for the Role
When my mother passed, I knew I would need software to account for final expenses, and asset distributions, of both her personal and trust estates. Also to account for my time attending to various matters as her personal representative and trustee. I knew I would need to report that accounting to other stakeholders in the process e.g. heirs, trustees, accountants, and attorneys.
Initially I tried QuickBooks Online, but that was a misuse, as it is designed for a business with sales etc. - not applicable to estate settlement.
My wife found EstateExec and I immediately switched to it. It was so easy and natural to get started. It has exactly the functionality I need.
As an enterprise software architect myself, I could immediately tell that EstateExec's designers had gotten it exactly right - designing software that is perfectly suited to the role of executor/trustee. In the jargon of my profession, the domain model and use case model are well-conceived. So is the user experience. Offering the software as a cloud-based service with a web interface and subscription-based business model is also thoroughly modern, compared to license-based desktop installed software like, say, Quicken.
The EstateExec team have clearly recognized an important market need, and designed and offered a valuable solution that perfectly meets that need.
I would highly recommend EstateExec to anyone who finds themselves in role of executor / personal representative / trustee.
Life Saving for PR of Estates
I was named PR for two simulltaneous deaths with contentious beneficiaries. EstateExec provided valuable information, accounting tools and checklist all in one place. The ability to upload receipts and documents for records and on cashflow is also better than other products. I am working with a third attorney for the estates and EstateExec provides valuable record keeping and information you do not necessarily receive from legal counsel. I would highly recommend on every level.
Helpful tool and good support.
So far, so good. I’ve been thrust into probate for a relative who passed without a will. My first time as admin/executor so I appreciate the software helping me organize some things and also all of the articles and guidance. I have some background in project management so appreciate the tool from that perspective as well. Also appreciate the company proactively reaching out to see if I needed any help! That was reassuring.
EstateExec is well designed and full of useful info
I stumbled across EstateExec after being assigned executor of an estate. I began using it almost immediately and am very glad I found it. This is a product that makes estate management much easier. I love finding a product such as this one, that fills a need and is so well designed. Well done!
Organization of Executor Duties
I was struggling with notebooks, stick it notes and file folders. I am usually organized but being executrix, I was overwhelmed. Now with the EstateExec I am able keep everything in one place all organized. It is great to go back and find the date I did something. So many time saving features. It has made dealing with everything less stressful. It is well worth the money snd I am so happy I found it.
An absolute must for any estate executor…
This program has been amazingly helpful. When I accepted the responsibility to be an executor, I had no clue what lied ahead or how to start. I hired a good attorney to begin the probate process— I had so many questions. Nearing the conclusion now, in hindsight, had I found the EstateExec program earlier, it would’ve answered so many questions and saved me thousands in attorney’s fees because I would’ve been more prepared to complete much of the legwork without having to be guided as much as I needed by the attorney from the beginning. It’s hard to know just how intense the responsibility is until a person experiences it. Having done so, I hope I can inspire others to invest in the program without hesitancy and gain the confidence early on to complete the process and save time and money. Well worth the investment, and then some. Customer service has been helpful and quick to respond to questions with help and guidance for using the program’s features along the way. I HIGHLY recommend this product— it can save so much in time, money, and peace of mind.
This app was so useful and informative
This app was so useful and informative. It gave me and others in our family a great deal of relief to be able to see things we needed to do AND WHEN? Questions we had were easily answered with drill down on topics. Using the app to list TO DO's was super helpful. Then the painful but necessary listing of debts and assets. Just wish my sister for whom I was Executor and Trustee would have been aware of this before she passed. I think she and we would have been so much better prepared.
Tough topic. But truly helpful
Simplified the Probate Process
This software made the process of settling my parent's estate so much easier. The step by step checklists ensured I didn't forget anything important. I also liked the customizable reporting. The support staff was very helpful as well, and in fact was proactive about reaching out to see if I was having any difficulty.
